The athletic director's November: eligibility grades, winter tryouts, and the three things that go wrong every year.

November is the hardest month on a high school AD's calendar: fall playoffs are still running, winter tryouts start, first-quarter grades decide who's eligible, and the same three problems show up every single year. Here's the month from the AD's chair, and the small preparations in October that make it survivable.

Ask a high school athletic director which month they'd skip if they could, and most will say November without hesitating. The fall season isn't over — your soccer team is in the regional semifinal, your football team has a playoff game Friday — and the winter season has already started. Basketball and wrestling tryouts are Monday. First-quarter grades posted last week. And somewhere in the building there are forty kids whose eligibility status is about to become your problem.

The three things that go wrong every year

The eligibility surprise. A starter on the basketball team finds out the day before tryouts that a first-quarter grade put them below the line. Nobody told the player. Nobody told the coach. The parent finds out from the kid, and the first call to your office is not a calm one. The root cause is almost never the rule. It's that nobody ran the list against the grades until it was too late to do anything about it.

The missing paperwork. A physical that expired in September. A concussion-education acknowledgment that was never signed. A transfer whose previous-school form never arrived. Each one is a kid who can't practice Monday, a coach who's furious, and a parent who swears they turned it in. Winter sports inherit every piece of paper the fall season let slide.

The overlap. Your best two-sport athlete is still in the soccer playoffs and basketball tryouts start Monday. The basketball coach wants them there. The soccer coach needs them. The state association has a rule about this and neither coach has read it. You referee a conversation between two adults about a sixteen-year-old's calendar while trying to get a bus to a semifinal.

What to do in October

The thing nobody says about the AD's job

Almost none of it is sports. It's logistics, compliance, and communication, and the difference between a terrible November and a merely busy one is whether the information existed in October where people could see it. Lightning for Schools was built for exactly this: rosters, eligibility tracking, paperwork status, and coach communication in one place, with every coach on staff able to see their own team's picture without emailing you for it. The point isn't software. The point is that in November you get to go watch the semifinal.
